The Opportunity:

The Events Coordinator will support the successful planning of client events both virtual and in-person. This is an exciting opportunity to join a global events function and international team to support key business initiatives and deliver high-quality OW branded events. This role is responsible for supporting the event planners with executing event design, production, and onsite delivery. The candidate will have regular interaction with teams in Marketing, Business Impact, and EA department to create impactful, high-profile events.

Key Responsibilities

Assist the events planners throughout the event planning lifecycle including site visits, venue proposals, contracting AV vendors and other event related needs (entertainment, food & beverage, meeting space setup.)
Actively researching venues for all types of events, presenting room layout details, and offering creative alternatives.
Manage all aspects of Cvent registration including website creation, registration management and reporting.
Owning the shared event mailbox, answering to guests' questions as well as tracking invites and RSVPs for multiple events.
Work with internal departments and lead planners on Cvent site design, drafting web content and creating invitation copy and other event assets (name badges, guest bio booklets, etc).
Creating project plans and other important event documents for events to support Event Planners in their day to day.
Manage and maintain inventory of event materials and equipment for the London office. Shipping and tracking supplies for onsite events - such as name badges and branded materials.
Assist onsite at events or high-level meetings with setup and guest arrival experience.
Facilitate virtual meetings as required.
Manage invoice processing and reconcile vendor payments post event.
Work with the wider Global Events Team on department wide projects and flagship firm wide events, when required.
Experience Required:

Minimum of 1+ years of event planning experience across a broad range of events e.g. conference, seminars, round tables, networking events, volunteer events, virtual broadcasts and webinars
Previous event experience in professional/financial services sector will be preferable.
Bachelor's Degree Preferred

Technical Skills

Proficient use of MS Office (Word, PowerPoint, Excel)
Proven Experience with meeting management software and technology platforms such as Cvent, Zoom, MS Teams - mandatory.
