Production Coordinator

Around the world, Disney Theatrical Group brings live entertainment to an audience of over 20 million people in 50 countries each year. Here in the UK & Ireland, our shows include the West End productions of The Lion King and Frozen, as well as a touring production of Aladdin the Musical. Our productions can employ around 150 people both on and backstage and are be seen by over 1.5 million people per year in the UK and Ireland.

Now, we have an opening for you to join our team and help us create magical moments! An opportunity has become available for a skilled Production Coordinator with experience within a live entertainment general management office to join us at our Lyceum offices.

In this role you would provide support for every aspect of getting a show on stage - people, logistics, budgets and will also be responsible for the efficient running of a show, including the welfare of performers, cost management and maintaining the production to a very high standard.

This role requires you to be based in the office a minimum of 4 days per week and to be flexible to work evenings and weekends, depending on production needs.

What You Will Do

Accountable for a smooth casting/contract process, from identification of candidates to hiring, including tasks such as casting negotiations, issuing deal memos/contracts (ensemble, swings, some principals) and serving as the day to day contact for performers' agents and performers as the need arises.
Accountable for all sponsored workers on the productions collaborating closely with Disney Global mobility and external partner, Deloitte, including serving as a key contact for all international cast for the duration of their time in the production.
Accountable for all sponsored workers on the productions liaising with Disney Global mobility and external partner, Deloitte, ensuring all immigration paperwork is prepared and recorded as per the Right to Work standards, and annual renewals of each individual visa for the shows are up to date.
Support the Senior General Manager and General Manager in all aspects of the contracting process, including supervising Production Assistants in maintaining the deals tracker, attending regular meetings with the legal team on new/existing contracts, etc.
Support the SGM/GM in accountability of accurate financial reports and management of all areas of production budgets including preparation of production EFCs, Annual Operating Plan and P&L, Record-keeping on all US/UK recharges, contra review and reconciliation in line with contracts, as well as approve payroll on each production.
Support the SGM/GM in all Employee Relations/conflict issues, being the first level escalation point for Company Managers for ER/conflict issues, working in partnership with HR to bring resolution in less complex cases.
Be the primary contact for Marketing/Press to arrange any internal or external events involving the productions and reporting plans to SGM/GM.
Work closely with HR to develop new workshops as required on each production, as well as to focus on Diversity & Inclusion and Wellbeing strategies.
Required Qualifications & Skills

Proven experience in general management of commercial stage productions, preferably in the West End, from strategy to implementation.
An understanding of the requirements of maintaining a first class, large-scale west end/touring production.
Willingness to undertake weekend work and evenings on occasion
Strong organisational and interpersonal skills.
Strong attention to detail and ability to multitask across a diverse and changing workload.
Proven organisational and leadership abilities.
Experience of influencing at all levels internally and externally.
Preferred Qualifications

Open-minded, flexible in thinking and adaptable to change.
Ability to prioritise, problem solve creatively, and to work to strict deadlines.
Experience with calendar and/or reporting systems is an asset (role requires regular use of DTG's proprietary calendar system).
Microsoft Office suite
