The Position:

The Studio Bookings Coordinator at Molinare plays a crucial role in ensuring the seamless operation and scheduling of our audio mix theatres, VO, and ADR rooms. This position is responsible for coordinating with internal Heads of Department (HOD) to draft and manage proposals for crewing on Foley, Sound Editorial, and Sound Design projects. By working closely with Clients, Post Production Managers, Interactive Producers, Sales teams, and Creatives, the Studio Bookings Coordinator ensures the optimal allocation of resources and the smooth management of all audio rooms and crews.



This role involves maintaining up-to-date internal systems, accurately tracking booking information, schedules, and revenue, and ultimately supporting our award-winning teams in delivering top-tier TV, Film, and Gaming projects.



Key Responsibilities:

Coordinate daily with Heads of Departments (HODs) to provide updates on scheduling and pencil statuses.
Manage client requests promptly and courteously, entering all enquiries into the booking system (CETA) and generating schedules.
Ensure accurate and up-to-date data in the scheduling system for clear reporting and visibility.
Draft and manage crew plans in consultation with HODs, ensuring optimal utilization of resources.
Address booking challenges and explore alternatives for potential scheduling conflicts.
Ensure freelance staff are properly booked and liaise with engineering and creatives for setup times.
Communicate effectively with internal teams and clients to ensure smooth operations and timely delivery of media for ADR sessions.
Serve as the point of contact for Front of House, ensuring a first-class service experience for clients and flexibility for after-hours communication.

Experience & Skills:

Sound understanding of post-production audio and its workflows.
Previous experience in a post-production scheduling or coordinating role.
Experience with post-production workflows and the implications of decisions on the workflow.
Knowledge of resource management and coordination.
Strong organisational skills with the ability to multitask and prioritise effectively.
Excellent communication skills, both verbal and written.
Ability to adapt to changing priorities while maintaining high client service standards.
Self-motivated with a commitment to ongoing learning and development.
Professional attitude and presentable appearance.
Experience working in a commercial environment.
