We follow the editorial standards and values of the BBC, but we rely on funding from donors and partners to carry out our work.This role will be in the Eastern Europe and Central Asia (EECA) programme and report to the Finance Manager. Key Responsibilities and AccountabilitiesJob-specific responsibilities• The Team Assistant will provide administrative and logistical support to the projects managed by the EECA team. The role will be responsible for a broad range of administrative tasks related to the different projects.• Work with project teams and provide support with contracting consultants, organising travel, processing invoices and expense claims, maintaining financial records of project expenditure.• To support project activities, including arranging the logistics for trainings and webinars, and supporting freelancers whilst they deliver their work for the EECA team. • Liaise with and assist the finance staff on routine financial issues, where required, including the review of all freelancer costs from SmartBooks, and ensure supporting documentation is appropriately filed for reporting purposes.• To support with donor reporting including collating supporting documentation to support the activities.• To support the Region's business development efforts by pulling together supporting documentation and ensuring administrative requirements of donor calls are observed. • To accurately monitor and update consultants' movements throughout the region for security purposes, to ensure Risk Assessments are completed correctly.• Actively participate in regular team meetings, contributing to discussions and decisions that will benefit the region • To develop good relations and maintain excellent communication channels with other teams and departments.• Provide cover for team assistants with in the EECA programmeSafeguardingThis role may involve working with groups of vulnerable children, youth, and adults. For the successful candidate, mandatory training will be provided on BBC Media Action's safeguarding policy and staff code of conduct. BBC Media Action operates a zero-tolerance policy concerning all forms of abuse and exploitation of vulnerable people. A police background check may form part of the recruitment process.Knowledge, Skills, Training & ExperienceEssential- Experience of providing administration assistance in an International Development organisation.- Organised with ability to prioritise own workload effectively, to coordinate activities and conflicting demands to ensure that tight deadlines are met.- Effective communication skills with the ability to work well with range of people at all levels. Ability to research, gather, analyse, collate and present information as required. Proficient computer skills with strong experience of office software packages (i.e. Word, Excel and PowerPoint.). - Ability to use own initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary.- Experience of using Smartbooks contracting system or experience contracting International based freelancers- Strong attention to detail.Desirable - Media sector experience.- Relevant business administration qualification.- Experience of countries in Eastern Europe and Central Asia- Second language (Russian or Ukrainian)
