London

We are recruiting for two Personal Assistants to join the Chief Operating Officer (COO) Group Headquarters (HQ) team, based in London on a permanent, full time basis.

The roles are positioned within the Business Management and Administration (BMA) team and job family, but are embedded within, and very much part of, the small COO Group HQ team.

Key Responsibilities and Accountabilities
These are demanding and challenging roles in a high pressure, fast-moving environment. They require high quality, professional diary management and administrative support within a busy office with many varied responsibilities and conflicting priorities.

The roles involve supporting and coordinating COOG HQ business, most notably including the diaries of senior leaders within the team. They will also lead and support the organisation of high-profile leadership and divisional events and meetings.

Both roles require:

• Exemplary organisational skills, including the ability to prioritise workloads proactively and independently
• Proven communication skills, including the ability to convey information quickly and accurately to a wide network
• A track record of teamwork, including the ability to collaborate within and beyond the COOG HQ team

The first PA role will focus on managing and organising the diaries of a number of busy, in-demand senior leader diaries.

The second PA role, in addition to diary management, will work closely with the Executive Assistant to the BBC's Chief Operating Officer, supporting and covering for them as necessary.

These important roles require skill, tact, initiative and judgement to assess and prioritise requests from multiple sources.
Dealing with enquiries and requests from every part of the BBC, the postholders will need to be highly organised as well as skilled communicators able to deal with people with diverse backgrounds and different agendas.
The utilisation of a wide range of IT and communication tools will be required to ensure maximum efficiency.
Discretion and an appreciation of the need for confidentiality is critical.

Knowledge, Skills, Training & Experience
You will be a highly skilled operator with a strong track record of effectively managing in-demand senior diaries.
You will have demonstrable experience of providing high quality administrative support at a senior level, and must be highly organised, with a proven ability to remain calm, organised and focused under pressure.

You will experienced in communicating accurately and concisely to a wide network within a complex organisation.
You will be experienced in effective document management, utilising a range of office tools and systems to retrieve, collate and produce high quality presentations and documents. You will have great attention to detail and be able to deal with fast-changing priorities and competing issues.
You will need to work flexibly and independently, be a collaborative team player, and demonstrate a proactive and positive can-do attitude.
You will be adept at handling confidential issues and information with tact, diplomacy and discretion.
You will be an advocate and champion for high quality, efficient business management and administration across the COO Group, working with the community of PAs and other BMA colleagues.
